Privacy policy

This privacy policy explains how Fibre Laser Marking, operated by Astros Marketing (Pty) Ltd, processes personal information in line with the Protection of Personal Information Act, 4 of 2013. It applies to information shared through our enquiry form, during service bookings, training, installations, support and after-sales administration.

1. What Information We Collect

We only collect personal information that is needed for sales, technical support, training, delivery and compliance. This may include your name, company name, position, contact details, delivery address, site location, VAT or company registration details where applicable, and records of your requests or machine requirements.

  • Enquiry and quotation details
  • Installation and service site details
  • Training attendance records
  • Technical notes relating to machine setup, sample marking or fault reports
  • Correspondence and call notes linked to your enquiry

2. How We Use Your Information

Personal information is used to respond to enquiries, prepare quotations, arrange installs, carry out machine setup, provide training, manage maintenance plans and support warranty or repair requests. We also use it to keep accurate records of work completed and to meet legal and accounting obligations. We do not use your information for unrelated purposes without a lawful basis.

  • To provide the services you request
  • To coordinate field visits, site access and machine handover
  • To manage spares, calibration and service history
  • To comply with tax, contract and record keeping duties
  • To improve support processes and training follow-up

3. Lawful Grounds For Processing

We process personal information where it is necessary to take steps before entering into a contract, to perform a contract, to comply with legal obligations, or where we have a legitimate business interest that does not override your rights. In some cases, we may ask for your consent, for example where it is the most appropriate lawful basis for a specific communication or request.

Where special personal information is involved, we only process it when permitted by law and only for the purpose for which it was provided.

4. Sharing And Storage Of Information

We may share information with staff members and trusted service providers who need it to perform their work. This can include logistics support, accounting support, technical service coordination and software or file storage used to manage customer records. We require reasonable safeguards to protect information from loss, misuse or unauthorised access.

  • Information is stored for as long as needed for the purpose collected
  • Records may be retained for legal, tax or dispute purposes
  • We do not sell personal information
  • Cross border processing is limited and only used where lawful safeguards are in place

5. Security, Site Visits And Practical Controls

We take reasonable technical and organisational measures to protect personal information, including access control, password protection and controlled record handling. Because we work on customer sites across South Africa, we may record location details, machine serial numbers, site contacts and handover notes to support accurate service delivery. This is especially important for installations, breakdown repairs and remote assistance where access must be managed carefully.

Customers should also keep their own system credentials, operator details and site authorisations secure. If you share information with us by mistake, please let us know through the enquiry form so we can assess the matter.

6. Your Rights Under POPIA

You may ask us what personal information we hold about you, request correction of inaccurate information, object to certain processing where allowed, or request deletion where we are not required by law to retain it. You may also withdraw consent where consent was the basis for processing. We may need to keep certain records for lawful accounting or contractual reasons.

  • Request access to your personal information
  • Ask for correction or updating of details
  • Object to specific processing where permitted
  • Withdraw consent where applicable
  • Submit a complaint to the Information Regulator about Fibre Laser Marking data handling

By submitting information to us, you confirm that you have the right to share it with us and that it is accurate to the best of your knowledge.
